Terms and Conditions to book a trip for Nepal, Tibet and Bhutan with us. The terms and conditions section contains the information to the clients regarding the procedures of booking confirmation agreement , payment and refund system, cancellation  and no shows as well as other charges levied as per our Mount Trails policy.

Mount Trails is a well-known Government Register Trekking Company in Nepal. We are trustworthy and fully committed to giving you the best service.

We accept your bookings under the following terms and conditions.

While booking your trip to Nepal, Tibet and Bhutan with us, we need your name and 20 % of the total amount of a non-refundable booking deposit. It needs for every trip booking per person of trip cost. The rest of the money can be paid upon arrival at our office.  Full payment needs to pay before departure for the trip and for your last-minute booking. You can pay before a week the total amount of money as an advance.

We want you to read and understand it carefully before declaration of any trip booking with us. The booking terms and conditions constitutes a legally required contract between Mount Trails and the party for the services to be provided by us sets out the basis of legal relationship with you and our company. The detail is listed below clearly.

BOOKINGS AND PAYMENTS

Mount Trails want you to complete a Booking form and send us a completed booking application form to us. You will get the form on our trip booking detail. A deposit of 20% of the trips ( any trekking , hiking and other tours ) tour cost and 15% of  mountaineering, peak climbing or expedition cost.  This will constitute acceptance by you of these Terms and Conditions. Mount Trails want you to attach a copy of your passport and passport size photographs (it is depending on the trip and destination) to submit a copy of your passport to our office via email. The remaining payment will be due and you will complet your payment when you are in Nepal before you leaving on the trip.

Flexibility on Changing date free of cost of your travel

Our flexible booking will give you peace of mind and easy for you if sometimes plans change. Furthermore, when you book with us you have the flexibility to change your travel plans. with the assurance that you’ll have options to re-book when it suits you. As long as you notify us about changes to your travel plans at least 21 days before your scheduled departure, you can pick new travel dates or an entirely different trip, with no change fees. Enjoy our flexibility program and have peace of mind during the uncertain COVID-19 travel conditions. Addressing all future bookings, you can book, postpone or rebook a trip without any penalty with the below available options.

Book your risk free holidays now and travel anytime within 2022, 2023 and 2024. Your deposite is secure and rescheduled for the future dates. We do not charge any surcharge or penalty fees. 

CANCELLATION POLICY

If incase, you get to cancel your trip, The 20% of deposit amount for the trip is not refundable. When making the final payment for the trip before it starts the day in our office no refund will give. Mount Trails want you to send a pre inform notice so that we can work out  on refund procedure which will be made are as follows: 

CANCELLATION RULE FOR

Trekking / hiking and any kind of tours

• Cancellation before 30 days of the trip, 10%  will be applied cancellation charge, plus any costs.
• Cancellation before 15 days of the trip 25% will be applied cancellation charge, plus any costs.
• Cancellation before  a week  of the trip will be applied  50% cancellation charge , plus any costs.
• Cancellation less than 1 week no refund shall be provided.
• If any kind of applicable permits are issued/ purchased already, the cost of Permit/s are not refundable.

Mountaineering or Peak Climbing and  Expedition

• Cancellation before 60 days of the trip, 10% cancellation will be charged, plus costs.
• Cancellation Before30 days of the trip 25% cancellation will be charged, plus costs.
• Cancellation Before 15 days of the trip 50% cancellation will be charged, plus costs.
• Cancellation less than 15 days no refund will be provided.
• If any kind of applicable permits are issued/ purchased  already, the cost of Permit/s are not refundable.

LIABILITY

Mount Trails Adventures offer unique adventures trekking in the Himalayas renowned for the best quality of service for any package we sell. We always believe the very best value for the money and take your safety for any aspect to make your holiday the best possible experience very seriously. We provide the best possible trip and we aim to perform our duties honestly and seriously to make your experience smooth and pleasant.  However, we will not take any responsibility regarding changes and alternations in the itinerary due to unavoidable circumstances or unforeseen cases such as landslides, road blockages, floods, snow, political-unrest, cancellation of flights, delay arrival, sickness, natural disasters, acts of terrorism or accidents. Any extra cost incurred thereof shall be borne by the clients on the spot.  All clients are advised to take out their own travel insurance to adequately cover against medical and personal accident risk (Travel insurance: compulsory to have insurance that covers helicopter evacuation in mountain). 

While Mount Trails undertaking tours, transportation, hotel accommodation and other services only acts as an agent on the clear understanding that it shall not be, in any way, responsible or liable for any accident, damages, loss, delay, international flight cancellation/delays, or inconvenience caused in connection with the travel facilities arranged by the company, its employees or agents. All bookings are accepted and executed with utmost care, yet no responsibility is undertaken for any change or deviation because of factors beyond our control.

ASSUMPTION OF RISK

The traveler/trekker understands that during the course of the trip, certain risks and dangers may occur, including, but not limited to, the hazards of traveling in mountainous terrain, accident or illness in remote places without medical facilities, and the forces of nature. The traveler/trekker agrees to assume all risks associated with the journey, and agrees that no liability will be attached to the company or its outfitters, employees or agents, or to any member of the tour group in respect to death, personal injury, illness or delay of traveler/trekker, or for any loss or damage to the property of the traveler/trekker during the course of the trip, however caused.

TRAVEL INSURANCE

Mount Trails highly advisable that while booking treks and tours with us, clients must be protected by insurance themselves that covers cancellation, accidents, health, emergency evacuation, and loss of items, theft of or damage to baggage and personal effects.Travel insurance compulsory to have insurance that covers helicopter evacuation in mountain. 

The costs for emergency evacuation must be paid all in cash. In some cases if it is covered from insurance policy, Insurance Company has to be agreed to pay on your behalf.  It is important to know that any insurance policy issued to cover emergency evacuation for travel, trek/ tour does not exclude alpinism or mountaineering so we want you to check it out with your insurance company make sure that its cover your medical and emergency of  the trip you are heading.

CHILDREN

A legal guardian (parents) must accompany all travelers who are under the age of sixteen. If you have a any question regarding age and suitability, please feel free to contact us for further information.

PUBLICITY

We hope that you agree that Mount Tails may use images of the trips, (Photographs) of you, taken during the trip without recourse and without compensation to you, for publicity and promotional purposes only, through whatever medium it chooses.

PRIVACY

Mount Trails collect information from you to making a booking through our Company we ask some questions to obtain the necessary permits and documentation.  We make sure you that no any private or personal information that you supply to us when making a booking will be disclosed for any other purposes.

COMPLAINTS

If you have any concerns or complaints about the trip, Mount Trails want you to inform the tour leader or guide at the earliest opportunity to allow them to sort it out. If you have any other complaints, you are always feel free to write us or telephone to our hotline.

SUPPLEMENT CHARGE

On our adventure packages of mountains, rooms or tents are provided in twin sharing basis. Single room supplement charges will be imposed to clients who do not have another tour participant to share room / tent with.  If you want to have room not to share with any other, Mount Trails want you to inform and clear before the trip start.

Unforeseen Circumstances and Program Change or dealy

We can change the itinerary without notice due to unavoidable circumstances beyond our control like weather hazards, Landslides, political unrest, road blockage, avalanches, sudden sickness, etc. The program can customize as per the interest of the clients. Therefore if  Mount Trails cancels your trip due to unavoidable circumstances like war, natural disasters, political unrest, bad climate, etc. We would be happy to refer you to an alternative trip of a similar standard. We keep it preserved for your next time but not longer than one year. 

Price change and Amendment of the Tour Cost

Mount Trails reserve the right to revise the  pricing rates posted on our website under such circumstances that are deemed necessary or for reasons out of our control for example, changes in exchange rates, governmental actions, permit fees will be subject to change. Most of the time, Domestic flight fare is changing due to fuel price rise up. We always trying to give you a preset price for our treks and tour packages

CLIENT IS RESPONSIBLE

Trek and Tour leader of Mount Trails,  who represents on your trip will have full authority during the trip.  The guide will make decisions about the trip based upon your safety and security and group.  If you commit any unlawful act, you are compelled to leave the tour immediately and no refund will be made in such a case.  An unlawful act is defined as anything that would be deemed up in the mountain.

IMPACT ON YOUR JOURNEY

We put fourth every effort to ensure you are comfortable with us on the trip. Weather is another major factor that may directly affect your trip, therefore we ask for your patience in such matters of wait a little bit and delay and cancelation.
